What Does a Virtual Assistant Cost in Sweden?

A virtual assistant is priced by the hour, by the package or by the month, and an hourly rate on its own says little: one includes Swedish-language work, GDPR paperwork and a backup person, another is a raw rate with a twenty-hour minimum. This guide explains the pricing models, what a rate should include, the trade-offs between Swedish and offshore assistants, and a method for estimating how many hours you actually need before you buy any.

What the hourly rate includes
Two rates that look far apart can be the same price once you list what is inside. Ask each supplier the same questions and write the answers next to the rate.
- Language: is work in Swedish included, for customer emails, phone calls and Swedish forms?
- Tools: does the assistant use your systems, such as Fortnox, HubSpot or your inbox, or their own with extra fees?
- GDPR: is a processing agreement included, and where is your customers' data handled?
- Cover: what happens on sick days and holidays; is there a backup person who knows your routines?
- Management: who trains the assistant and who checks quality, and are those hours billed?
- Billing unit: per fifteen minutes, per half hour or per started hour makes a real difference on small tasks.
Minimum commitments
Many providers require a minimum number of hours per month or a minimum contract length. That is reasonable for a retainer, where they reserve capacity for you, and unreasonable for hourly billing, where you should pay only for what you use. The trap is a package that expires: twenty prepaid hours that vanish at month end cost twice as much if you only needed ten. Prefer hours that roll over, short notice periods and the freedom to change the monthly volume as your needs move.
Swedish vs offshore rates and trade-offs
Offshore assistants cost less per hour and can be excellent for structured, English-language, non-sensitive work such as data entry, research or formatting. Swedish-based assistants cost more and are the right choice when the work involves Swedish customers, Swedish systems and rules, or personal data that should stay within the EU. The honest comparison is per finished task, not per hour: a task that takes a Swedish assistant one hour may take three with back-and-forth across languages and time zones, and the risk of a customer receiving an awkward email has a cost too.

Estimating your monthly hours
For one week, log every admin task you would hand over, with the minutes it took: inbox triage, calendar, invoicing in Fortnox, chasing quotes, updating the CRM, ordering supplies. Multiply by four, then add a quarter for handover and questions during the first month. That is your starting volume; most solo founders and small teams land between a few hours a week and a part-time role. Start hourly, review after a month, and move to a package only when the volume is steady.
When you do not need a virtual assistant: if your log shows under two hours a week, the handover costs more than the time saved; tidy the routines instead, or automate the most repeated task with our guide to which tasks to automate first. It depends on the work and what the rate includes. Is a virtual assistant cheaper than employing someone part-time?
For under roughly fifteen hours a week, usually yes, once employer contributions, holiday pay, equipment and management time are counted, and because you pay only for hours used. Above that, and where daily supervision is needed, a part-time employee is often the better value and the more stable arrangement.
Can a virtual assistant handle my invoicing and bookkeeping?
Invoicing, reminders, receipt collection and preparing material for your accountant, yes, in your own Fortnox or Visma account with a role limited to what they need. The accounting itself and the VAT return stay with your accountant or with you; a good assistant makes that work faster, not unnecessary.
What about GDPR when an assistant works in my systems?
You need a processing agreement with the provider, a named account per person with the least access that does the job, and a note in your records of processing. If the assistant is outside the EU, transfer rules apply and the paperwork grows. Keeping customer data inside the EU is the simpler path.
