Every article on missed calls quotes an industry statistic you cannot verify for your own business. You do not need one. Your phone operator already has the data, and the calculation takes twenty minutes. This guide walks through the worksheet, lists the cheap fixes to try before buying anything, and gives a plain rule for when an AI receptionist is worth its monthly fee.
Pull your real call data
Start with the number of incoming calls you did not answer in a typical month. Most Swedish operators show this in the business portal or the switchboard app; on a mobile, the missed-calls list for the last thirty days is a workable substitute. Then note when they happened. Calls that pile up at lunchtime, after five, or while you are already on the phone point to different fixes than calls scattered through the day.
- Count unanswered incoming calls for one full month.
- Split them by time: office hours, after hours, weekends.
- Count how many of those callers left a voicemail or called back later.
- For one week, ask every caller you do reach how they found you and what they wanted.
Estimate the value of a caller
Not every missed call is a lost customer. Some are suppliers, some are existing customers who will try again, some are sales calls. Your one-week log tells you the share that were new enquiries. Then estimate two more things: how often a new enquiry becomes a job when you do answer, and what the first job is worth on average. For a hair salon that is one visit; for a plumber it is one call-out; for a dental clinic it might be a first appointment plus the treatment that follows.
Be honest about the callback rate. A new customer who gets voicemail from a tradesperson usually rings the next number in the search results. An existing customer usually waits. The mechanism is simple: the less the caller knows you, the less patient they are.

The example uses round fractions on purpose. Replace them with your own; do not borrow anyone else's.
Two refinements make the number more useful. First, add repeat value: if a first job typically leads to further work, multiply by the number of jobs an average customer gives you. Second, subtract nothing for the calls you would have answered with a better routine, because those are exactly what the next section fixes for free.
Cheap fixes before paying for software

- Set a call-back rule: every missed call is returned within thirty minutes during office hours, by a named person.
- Record a voicemail greeting that says when you will call back and offers a booking link by SMS.
- Forward the line to a second phone during lunch and the last hour of the day.
- Put the booking link and opening hours on your Google Business Profile so callers can self-serve.
- If several people can answer, use a simple hunt group so the call rings all of them.
When you do not need anything more: if the worksheet shows only a couple of lost jobs a month and the routine above catches most of them, stop there. Software that costs more per month than the jobs it saves is a bad purchase, however good the technology.
