AI Phone Answering for Car Workshops

An independent workshop loses money every time a mechanic wipes their hands to answer the phone. The calls are predictable: book a service, book a tyre change, ask whether the car is ready, ask what the quote covers. This guide shows which of those an AI receptionist handles well, how it reads status from your workshop system, and which calls should still reach a person who knows the car.

The calls that interrupt mechanics

A workshop phone has a particular rhythm. Mornings bring drop-offs and status questions from yesterday, afternoons bring calls asking whether the car is done, and twice a year the whole week is tyre changes. The person nearest the phone is usually under a car, so calls either ring out or get a distracted answer. The AI never quotes a repair price for a fault nobody has seen. It can quote list prices for fixed jobs like a tyre change if you allow it.

Status calls without walking to the office

The single most disruptive call is 'is my car ready'. Answering it means walking to the office, finding the job card, and walking back. If your workshop system tracks job status, the AI can read it and answer by registration number, and it can send an SMS the moment a job is marked complete so most of those calls never happen.

  1. Define the statuses the AI may read out: received, in progress, waiting for parts, ready for collection. Keep internal notes out of it.
  2. Let the AI verify the caller with registration number plus phone number before reading any status.
  3. Turn on the automatic SMS at 'ready for collection' with opening hours for pickup. This removes the afternoon call wave.
  4. For 'waiting for parts', let the AI give the expected date if the system has one, and take a callback request if not.
  5. Route any question about the invoice amount to a person unless the quote was approved in writing.

The status feature depends on your system keeping job status current. If mechanics update the job card only at the end of the day, the AI will give stale answers. That is a routine change, not a technology problem, and it is worth making before go-live.

Connecting to workshop systems

Swedish workshops run on a handful of workshop management systems, plus tyre hotel software and sometimes a separate online booking tool. The receptionist needs to book into the calendar and read job status, which usually means one integration with the workshop system and, if tyres live elsewhere, one with the tyre hotel.

What still needs a person

A workshop's reputation rests on judgement: what is wrong, what it will cost, what can wait. None of that belongs to the phone assistant. The AI's job is to protect the mechanic's time for exactly those conversations by taking everything else.

  • Diagnosis over the phone. The AI books an inspection and notes the symptoms; the mechanic decides.
  • Approving extra work found during a service. The AI can take the customer's callback preference, but the approval is a human call and should be recorded.
  • Warranty and complaint conversations. Taken as a message with a promised callback time.
  • Fleet and company customers with agreements. Route by phone number to the person who owns the account.
  • Anything involving safety, such as a customer describing brake failure. The AI advises not to drive and transfers immediately.

When you do not need this: a workshop with a full-time service advisor at the desk, or one that takes nearly all bookings through an online form, will not miss enough calls to justify the monthly fee, and we will say so.
