Connecting to your table booking system
The value depends almost entirely on whether the receptionist can see real availability. If it can only take a message, you have bought expensive voicemail. Most booking systems used by Swedish restaurants expose availability through an API or widget, and that integration is usually the largest part of the setup.
- List tables, seating times and turn times exactly as configured today, including rules like a two-hour limit on Fridays.
- Decide which slots the AI may release. Walk-in tables kept outside the system should never be promised.
- Choose what the guest receives: an SMS confirmation, and a same-day reminder that cuts no-shows.
- Make the booking land in the list the host reads from, marked with its source so you can measure it.
- Test with your own number for a week before forwarding the real one.

Allergy and group-booking hand-offs
Allergy questions are where restaurant automation earns or loses trust. The AI should note that a guest is allergic to shellfish, attach it to the booking and say the kitchen will confirm. What it must not do is say a dish is safe. Menus and suppliers change, and a confident wrong answer is worse than none. The script is explicit: the note is recorded, a person confirms.

Let the AI move or cancel a booking it can find by name and phone number; it removes most of the calls that interrupt service.
Measuring the first month
Decide the yardstick before go-live. The receptionist logs every call, what was asked and what happened, so measuring is mostly reading.
- Calls answered during service that would previously have rung out. This number justifies the cost.
- Bookings created by the AI, and how many of those guests turned up.
- Hand-offs to staff, and whether they were the right ones. Too many means the script is too cautious; too few, too bold.
- Guest complaints about the phone. Read every one in month one.
- Time the floor spent on the phone during service, before and after. Ask the staff.
