Admin Tasks You Should Keep In-House

Most advice about outsourcing admin lists what you can hand over. This guide does the opposite. Some tasks should stay with the owner or with permanent staff, not because an assistant could not do them, but because the risk, the context or the legal responsibility makes delegation more expensive than doing them yourself. Knowing where that line goes makes the tasks you do delegate work better, and protects you from the few mistakes that are hard to undo.
Decisions only you can make
An assistant can collect three quotes, compare them in a table and flag the differences. Choosing which supplier to sign with is a decision that depends on your priorities, relationships and risk appetite. The same goes for setting prices, granting discounts, hiring or letting people go. Delegating the preparation saves most of the time; the decision itself often takes minutes.
Sensitive customer relationships
Routine customer contact, such as booking confirmations, delivery updates and simple questions, is ideal to delegate. The exceptions are the conversations where trust is on the line.
- Complaints and disputes, where tone and willingness to compromise matter more than templates.
- Your largest customers, who expect to hear from the person responsible.
- Price negotiations and contract renewals.
- Staff matters: sick leave follow-ups, performance talks, conflicts. These also involve sensitive personal data under GDPR.
- Anything involving health data, legal disputes or debt collection beyond standard reminders.
Signing and payments
In Sweden, BankID is a personal legal identity. Anyone who uses your BankID acts as you, legally, and banks treat sharing it as a breach of terms. Signatory rights for a limited company are registered with Bolagsverket. Neither should be handed to an assistant.

Invoice fraud, where someone asks to change a supplier's bank account, is common and targets small companies. Keeping payment approval in-house, with a second check for any change of bank details, is the simplest protection.
Tasks too rare to document
Delegation works because the effort of documenting a task is repaid every time it is done by someone else. A task that happens once a year never pays that back, and by next year the instructions are out of date. Examples include the annual insurance review, a yearly registration change, or a one-off project with a public authority.

Often faster to do yourself, or to buy as a specific service from an accountant or lawyer.
Reviewing what you have delegated
Keeping oversight in-house is itself a task you cannot delegate. Once a month, spend half an hour reviewing: are the delegated tasks done on time, are there repeated errors, has anything crept outside the agreed scope? Check access rights too, and remove what is no longer needed.

Can an assistant handle my email?
Yes, for sorting, routine replies and scheduling. Keep conversations about complaints, negotiations and personal matters for yourself, and decide which messages may be sent in your name.
Can I let an assistant pay invoices?
They can prepare payments for your approval. The final approval should be yours, with your own BankID, to protect against errors and fraud.
Should bookkeeping stay in-house?
Routine registration can be delegated. Responsibility for the books, VAT and tax returns stays with the company, so keep oversight and have an accountant for judgement calls.
What about tasks I simply dislike?
Dislike is a fine reason to delegate if the task is frequent and documentable. If it is rare and judgement-based, consider buying it as a specific service instead.
