Webshops for Second-Hand and Vintage Sellers

By CodexierPublished 5 min read

A second-hand or vintage shop breaks most assumptions webshop platforms are built on. Every product exists once, every item needs its own photos and description, and the VAT can be calculated on your margin instead of the full price. This guide covers how to set up a webshop for unique items, how the margin scheme affects the shop, and how to sell on marketplaces at the same time without selling the same item twice.

One-off items and stock

Standard stores assume you list a product once and sell it many times. You list many products and sell each once, so the listing process is your bottleneck. Build templates for descriptions and measurements per category, use bulk upload where the platform supports it, and make sure sold items are hidden or moved to a 'sold' archive automatically rather than deleted, since sold pages can still attract search traffic and show your range.

The VAT margin scheme

Normally you charge VAT on the full selling price. For second-hand goods bought without VAT, typically from private persons, Swedish rules allow the margin scheme (vinstmarginalbeskattning): VAT is calculated on the difference between purchase and selling price. That can make a large difference to profitability, but it comes with conditions.

RequirementWhat it means for the webshop
Per-item purchase recordEach item needs a record of what you paid, so the margin can be calculated
No VAT shown on the receiptMargin scheme sales must not show VAT as a separate amount; the receipt must state the scheme applies
Separate from normal salesNew goods and margin scheme goods must be reported separately in bookkeeping
Only eligible goodsItems bought with deductible VAT from a business do not qualify

Simplified. Read Skatteverket's guidance on vinstmarginalbeskattning and agree the setup with your accountant before launch.

Most webshop platforms do not handle the margin scheme out of the box. Common solutions are separate tax settings for margin scheme products, a purchase price field per product, and an export to the accounting system that separates the two kinds of sales. Test that receipts and order confirmations do not display VAT for these items.

Photographing unique products

With unique items the photos replace the chance to touch the product. A fixed corner with a neutral background, daylight lamps and a phone on a tripod gives consistent pictures you can produce quickly. Our guide to product photos on a small budget goes into setup.

  • Front, back, details, labels and any flaws on every item.
  • A picture with a size reference, or measurements in the description.
  • Same background and light every time, so the shop looks curated rather than random.
  • Compressed images in modern formats, so pages with many items stay fast on mobile.

Condition descriptions and returns

Use a fixed scale, for example 'as new', 'very good', 'good' and 'worn', and define each level on a page you link from every product. Describe specific flaws in words and pictures. This reduces returns and complaints, because the customer knew what they bought.

Selling second-hand does not remove consumer rights. As a business selling to consumers at a distance, you must offer the 14-day right of withdrawal, and the complaint rules apply with the item's age and condition taken into account. Our guide to distance selling rules covers the details.

Marketplaces alongside the shop

Tradera, Blocket, Vinted, Etsy and similar marketplaces bring buyers you would not reach alone. The risk with unique items is selling the same piece twice. Either sync listings through an integration that removes an item everywhere when it sells, or decide which items go where. Our guide on marketplace or own webshop helps you weigh the channels.

When you do not need your own webshop yet: if you sell a few dozen items a month and marketplaces work well, your own shop adds fees and work before it adds sales. Build it when you want to own the customer relationship and the brand. Our store setup covers Shopify or WooCommerce configured for unique items, and our pricing page lists the fixed price. Frequently asked questions

Shopify or WooCommerce for a vintage shop?

Shopify is faster to run and has good apps for bulk listing and marketplace sync. WooCommerce gives more control over custom fields such as purchase price for the margin scheme. Both work.

Do I have to use the margin scheme?

No, it is optional for eligible goods. You can charge normal VAT instead, which is simpler but usually more expensive when you buy from private persons.

Can I refuse returns because items are second-hand?

Not for consumer purchases at a distance. The right of withdrawal applies. You can deduct for wear if the customer handled the item beyond what is needed to inspect it.

How do I stop selling one item twice across channels?

Use an integration that updates all channels when an item sells, or keep each item in only one channel at a time.
