Rebranding? A Checklist for Your Digital Assets

By CodexierPublished 4 min read

A rebrand is usually planned around the new logo, colours and typeface. Launch day is then spent discovering the old brand everywhere: in a forgotten email template, on the Google Business Profile, in the app store screenshots, on the invoice PDF. Each leftover makes the company look careless. This checklist lists the digital places a brand lives, so you can plan the switch instead of chasing it.

The short version

Website, favicon and social images

  • Logo in header, footer and every page template, in light and dark variants.
  • Favicon and app icons in all sizes, including the Apple touch icon.
  • Open Graph and social share images, which are cached by platforms and need re-scraping.
  • Colours and fonts in the CSS or design tokens, checked for contrast; see brand colours that pass contrast.
  • PDFs, brochures and downloadable files linked from the site.
  • Social media profile pictures, cover images and bios on LinkedIn, Instagram and Facebook.
  • Google Business Profile logo, cover photo and, if changed, business name.

Email signatures and templates

Email is where old brands survive longest, because templates are spread across many systems. Every tool that sends email on your behalf has its own template.

WhereWhat to update
Staff signaturesA central signature template in Microsoft 365 or Google Workspace, not individual copies
Newsletter toolHeader, footer, colours and saved templates
Transactional emailOrder confirmations, password resets, receipts from your webshop or SaaS
CRM and helpdeskSales sequences, ticket replies, meeting invites
AutomationsAny email sent from Zapier, Make or custom code

Apps, stores and listings

If you have a mobile app, a new icon and name require a new build submitted through App Store and Google Play review, along with new screenshots and store text. Plan for review time. Beyond your own channels, your brand lives in directories, marketplaces and partner sites. Swedish directories such as Hitta, Eniro and Allabolag, industry listings, review sites and partner pages all show your old logo until someone updates them.

App stores

Icon, name, screenshots, preview video, description and developer name if it changed.

Directories

Google Business Profile, Bing Places, Apple Business Connect and Swedish business directories.

Partners

Logos on partner, supplier and customer websites, and in marketplaces where you sell.

Documents, invoices and forms

  • Invoice templates in Fortnox, Visma or your billing system.
  • Quote and contract templates, including e-signature services.
  • Presentation and document templates in PowerPoint, Word or Google.
  • Web forms, booking pages and payment pages hosted by third parties.
  • Receipts from Stripe, Klarna or other payment providers.

If the company name changes, not just the look, update the registration with Bolagsverket first, then inform Skatteverket, the bank and payment providers. Invoices must show the correct registered name, and a name mismatch can stop payouts.

Frequently asked questions

How long before launch should we start the digital switch?

Start the inventory at least a month before, and prepare all assets in advance so launch day is mostly publishing. App store updates need extra time for review.

Should we switch everything on one day?

Your own website, email and social profiles, yes. Third-party listings and documents can follow over a few weeks, as long as you track them in the inventory.

Do we need to register the new brand as a trademark?

If the name or logo is important to the business, consider registering it with PRV or as an EU trademark. Check before launch that no one else holds a conflicting mark.

What if the old brand keeps appearing in Google?

Search results and cached images update over time. Request re-crawling in Search Console, re-scrape social previews, and update listings you control. Redirects handle the rest.
