Most café and bakery customers decide within a few minutes and a few hundred metres: they search nearby, check that you are open, glance at photos and walk in. Growth therefore starts on the map, not on social media. This playbook covers the order that works: maps and opening hours, pre-orders for cakes and catering, seasonal specials, a simple website and a reason for regulars to return.

Maps and opening hours first

When someone searches for a café or bakery nearby, the map listing is often all they see. Wrong opening hours are the most expensive mistake: a customer who walks to a closed door does not come back to check next time. Update holiday hours before every red day, midsummer and Christmas, and before any closure for staff holidays. Use the same name, address and phone number everywhere.

  • Choose the most precise category, such as bakery or café, rather than a broad one.
  • Add real photos: the counter, the display, the room, the best-selling pastry. Update them with the seasons.
  • Ask for reviews with a QR code at the till — see getting more Google reviews for what is and is not allowed.

Pre-orders for cakes and catering

Pre-orders are where a bakery makes planned money: birthday cakes, graduation parties, office fika, weekend bread boxes. Taking them by phone and Instagram message costs time and creates mistakes. A simple order form with fixed options, a pick-up time and payment up front solves most of it.

Seasonal specials and posts

The Swedish baking year hands you a marketing calendar for free. Each season gives people a reason to search and a reason to visit. Plan two to three weeks ahead: update photos and posts on your map listing, put the special on the start page of your site and open pre-orders early.

Late winter

Semlor around Shrove Tuesday — open pre-orders for offices and families well before the day.

Spring and summer

Easter baking, graduation cakes and summer fika. Graduation weeks fill up early, so publish lead times.

Autumn

A simple site that loads fast

Your website has three jobs: confirm you are open and where you are, show what you sell, and take pre-orders. Put the menu on the page as text, not as a PDF — text loads faster on a phone, can be read by search engines and is easy to update. Show opening hours at the top, with a map link and the pre-order button next to them.

Regulars and loyalty

Regulars are the base of a café's income. Keep loyalty simple: a stamp card, physical or digital, works because it is easy to understand. If you collect email addresses for news and offers, ask for clear consent and make unsubscribing easy, as GDPR requires. Send few messages and make them useful — the new seasonal bake, holiday hours, the opening of pre-orders.

Do I need a website if I have Instagram and a Google profile?

Not always. But a simple site gives you a menu search engines can read, a stable place for pre-orders and a page you control. Instagram and the map listing work best when they link to it.

Should my menu be a PDF?

Preferably not. A PDF is slow on phones, hard to read and harder for search engines to understand. Put the menu on the page as text and update it with the seasons.

How do I handle allergens in online orders?

Show which allergens each product contains, and add a field for special needs. For unpackaged food, customers must be able to get allergen information, so make sure what the site says matches what staff say in the shop.

Is it worth advertising a café online?

Usually only after the basics are in place. A complete map listing, correct hours and good photos come first. Small, local ads around seasonal peaks can work once those are right.
