Starter vs Professional

HubSpot sells hubs, not one product: Marketing, Sales, Service, Content and Operations, each at Starter, Professional and Enterprise. The gap between Starter and Professional is the largest in the whole price list, in both money and capability, so it deserves a deliberate look.

Starter

Removes branding, adds multiple pipelines, simple automation, more email sends and basic reporting. Priced per seat or per contact at a level a small team can absorb. Right for most companies under ten people.

Professional

Adds workflows that can do almost anything, sequences, lead scoring, custom reports, A/B testing and a proper service desk. Comes with an onboarding fee and a minimum number of seats, so the jump is significant.

The Starter bundle

All hubs at Starter level for one price, often the best value if you use CRM, forms and email together. Check current terms, since bundles change.

Seats and contacts pricing

Two meters run at once. Sales and Service hubs charge per paid seat, meaning each person who needs the paid features. Marketing hub charges by marketing contacts, meaning the contacts you actually email, not everyone in the database. Both meters can be managed: view-only users are free, and contacts can be set as non-marketing so they do not count.

  • Count who needs to send sequences or use automation. Everyone else can be a free seat with full CRM access.
  • Mark suppliers, partners and old leads as non-marketing contacts before you buy Marketing hub.
  • Prices are set in your local currency at HubSpot's list, and yearly commitments are the norm; check the renewal terms before signing.
  • Budget the onboarding fee for Professional as a one-off, and decide whether to take HubSpot's onboarding or an external one that also configures your process.

Planning the upgrade

Write down, while still free, which feature will trigger the upgrade and what it should deliver. Clean the data first: duplicates, dead contacts and untagged sources cost money on a per-contact meter and make automation misfire. Define the pipeline stages and properties you will automate against, since automation built on a messy CRM automates the mess. Then upgrade one hub, not all of them, and use it for a quarter before adding the next. A CRM setup audit before the upgrade is the cheap way to make sure you are paying for a system that is ready to be paid for.

When you do not need to upgrade: a solo consultant or a two-person firm with one pipeline and a small mailing list can run on the free tier for years, and the branding on forms is a cosmetic issue, not a business one. When you should not choose HubSpot at all: if your process is mainly quoting and invoicing rather than pipeline sales, a lighter CRM or your accounting system's customer register may fit better. How many contacts can we store on the free tier?

Can we connect HubSpot to Fortnox for free?

The free CRM has an API and a marketplace, and some Fortnox connectors work at the free tier, though automation between the two usually needs a paid hub or an external automation tool. Decide what should sync before you pick the connector.

Should we start on Pipedrive instead?
