E-Signatures in Sweden: Scrive, DocuSign and BankID

Swedish companies sign almost everything electronically now: customer agreements, employment contracts, board minutes, supplier terms. The tools make it easy; the questions are which level of signature a document needs, whether to add BankID, and how to keep the signed document and its evidence for as long as the agreement matters. This guide answers those from a buyer's point of view.
Signature levels under eIDAS
The EU eIDAS regulation defines three levels. A simple electronic signature is any electronic mark of agreement, such as a typed name or a ticked box. An advanced electronic signature is uniquely linked to the signer, capable of identifying them, created under their sole control and linked to the document so that later changes are detectable; this is what the mainstream signing services produce. A qualified electronic signature adds a certificate from a qualified provider and a qualified signing device, and is the only level automatically equivalent to a handwritten signature across the EU. In Sweden, very few agreements legally require a qualified signature, and Swedish courts assess electronic signatures on evidence, not on level alone.
BankID signing and its strengths
BankID is not a signing service but an identification method that signing services can use. When a signer confirms with BankID, the signature is tied to a verified Swedish personal identity number through the signer's bank, which is as strong an identity link as ordinary business gets. The result is normally treated as an advanced electronic signature with unusually strong evidence of identity.
- Use it when the counterparty's identity is the point: consumers, private individuals, tenants, borrowers, guarantors.
- Use it for documents that a person might later deny signing, such as powers of attorney and personal guarantees.
- Skip it for routine B2B agreements with known counterparties, where an email-verified signature is proportionate and less friction.
- Remember that foreign signers do not have BankID; a signing service that supports other EU eIDs or email verification covers them.

The services differ less in signature validity than in how well they fit Swedish practice and your own systems. What to compare:

Integrating signing into your flow
Copy-pasting names into a signing portal is where errors and delays enter. The better pattern is that the agreement is generated from the system that already has the customer's details, sent for signature automatically, and its status is written back when signed. A quote accepted in the CRM becomes a contract sent for signing; a signed contract creates the customer in the accounting system and triggers onboarding. Every mainstream service offers an API and webhooks for exactly this, and a modest integration project usually covers the whole chain. Decide who inside the company may send documents for signature, and keep templates under version control so a signed agreement can always be traced to the template it was made from.
Archiving signed documents
A signed agreement is only useful if you can produce it, with its evidence, years later. Do not rely on the signing service as your archive; download the signed PDF and the evidence package when signing completes and store them in your own document system with the customer record. Set retention to match the agreement plus the period during which claims can be made, and note that Swedish bookkeeping law requires certain agreements to be kept as accounting material. Remember GDPR: a signed contract contains personal data, so the archive needs access control and a deletion routine like any other register.

Frequently asked questions
Is an agreement signed by email confirmation legally valid in Sweden?
Generally yes. Swedish contract law has few formal requirements, and an electronic signature cannot be denied legal effect solely because it is electronic. The question in a dispute is evidence: who signed, what they saw and when. A signing service's evidence log answers that far better than an email thread.
When is a qualified electronic signature actually required?
Rarely. Some specific legal acts and certain cross-border or public-sector documents require it. For ordinary commercial, employment and consumer agreements in Sweden an advanced signature, with or without BankID, is sufficient. Check the specific law when a document is unusual.
Can a signed PDF be altered afterwards?
An advanced signature seals the document so that any change is detectable. Open the PDF in a reader that validates signatures and it will show whether the document has been modified since signing. Keep the evidence package alongside; it records the signing steps the PDF alone does not show.
