When the support inbox overflows, the choice seems to be between hiring another person and installing a chatbot. Vendors of each will tell you their option is cheaper. The honest answer comes from your own tickets: how many arrive, what kinds they are and how much each type needs a human. This guide shows how to count your volume and mix, what a support hire really costs in Sweden, what a chatbot costs once review is included, and why the answer is often a combination.
Your ticket volume and mix
Export a normal month of emails, chats and phone notes and tag each one. Repetitive questions are things like opening hours, delivery times, return rules, how to book or change a booking. Lookup questions need data from your systems: where is my order, is there a slot on Thursday, what did my invoice include. Judgement cases are complaints, exceptions, sensitive situations and sales conversations. The shares of these three groups, more than the total volume, decide the answer.
Cost of a support hire
In Sweden the cost of an employee is much more than the salary. Employer social contributions add roughly 31 percent on top, collective agreements usually add occupational pension, and holiday pay, sick pay and parental leave cover mean the person is available fewer hours than paid. Add recruitment, weeks of onboarding before they work independently, a computer, software licences and a manager's time.

Cost of a chatbot plus review
A chatbot is not free after setup. Someone must write and maintain the knowledge it answers from, review a sample of conversations each week, handle everything it hands over, and update it when prices, rules or products change. Budget a few hours a week of an existing employee's time for this. - A chatbot answers instantly at any hour, which customers value for simple questions.
- It must answer only from your content and hand over when unsure; an invented answer costs more than no answer.
- Customers must always be able to reach a person, and should be told they are talking to an AI.

Will a chatbot replace our support staff?
Rarely completely. It takes over repetitive questions and lookups, which frees staff for the cases that need people. Most businesses use it to handle growth without hiring, not to remove existing roles.
How many tickets do we need before a chatbot pays off?
There is no fixed threshold. What matters is the number of repetitive and lookup tickets multiplied by the time each takes today. Count them for a month and compare that time with the chatbot's cost including review.
Do we have to tell customers they are talking to a bot?
Yes. The EU AI Act requires that people are informed when they interact with an AI system, unless it is obvious. It is also good practice: customers accept bots better when they know and can reach a person.
Can the chatbot see our customers' orders?
It can, through an integration with your webshop or order system, and with identification so customers see only their own data. That adds cost and requires GDPR care, but it is often where most of the time saving is.
