What Does Bookkeeping Help Cost in Sweden?

Asking what bookkeeping help costs is a bit like asking what a car repair costs: it depends on what is wrong. Two companies of the same size can pay very different amounts because one sends a tidy, digital set of documents every month and the other hands over a shoebox in February. The type of help matters too: an accounting firm that books, reports VAT and prepares the annual accounts is a different service from admin help that sorts receipts and chases invoices. This guide separates the two, explains the pricing models and shows what drives the total.

Pricing: hourly, per voucher or monthly

Hourly

You pay for time spent. Fair when the workload varies, but it rewards messy material, since sorting it takes hours. Ask for a time log.

Per voucher or transaction

A price per booked document or bank transaction. Predictable per unit and easy to compare, but check what counts as a voucher and what is extra.

Fixed monthly fee

A set price for an agreed scope and volume. Easiest to budget, as long as the scope is clearly written and the volume band is realistic.

Year-end work is usually priced separately in all three models: the annual accounts, the annual report for a limited company and the income tax return. Ask for that price up front, since it is often the largest single item of the year.

How volume drives the price

The main driver is the number of events that must be booked: supplier invoices, customer invoices, card purchases, receipts and bank transactions. A consultancy with a handful of invoices a month is a small job. A webshop with hundreds of orders, several payment providers and returns is a much larger one, even at the same revenue, unless sales are summarised automatically. Integrations help here: payouts from payment providers and shop platforms can often be booked as summaries rather than order by order.

  • Count vouchers per month: supplier invoices, sales invoices, receipts and card purchases.
  • Count bank accounts, payment providers and currencies.
  • Note employees on payroll and any travel or expense claims.
  • Note special cases: VAT on EU trade, ROT and RUT, projects, stock.
  • Take that list to every provider so the quotes are comparable.

Messy documents cost more

Every missing receipt, unclear card purchase and paper invoice photographed at an angle costs time, and time costs money whatever the pricing model. Under an hourly model you pay directly; under a fixed or per-voucher model the provider eventually raises the price or charges extra.   2. Photograph or upload receipts at the time of purchase with a short note on the purpose.
  3. Keep business and private spending on separate cards and accounts.
  4. Deliver the month's material by a fixed date, the same every month.

What to budget yearly

A realistic budget has three parts: the monthly running work, the year-end work and a buffer for catching up or unusual events. Ask each provider for the first two as fixed prices based on your volume list, and check what an hour costs outside the scope. Compare offers on the total per year, not on the headline rate. If you have a sole trader business with few transactions, the year-end part is small; a limited company needs an annual report and costs more at year end.
