AI and Automation for Accounting Firms

In most Swedish accounting firms the expensive hours are not spent on accounting. They go to chasing receipts, renaming files, answering the same question about the VAT date and reminding clients about things they already know. This guide maps those steps, shows which ones automate safely around Fortnox and Visma, and draws the line where a qualified person has to stay in charge.

Where the hours go in a bureau

A useful exercise before buying any tool is to list one ordinary month for one ordinary client and mark each step as logistics or judgement. Logistics is anything where the right action is obvious once the information arrives: send a reminder, file a PDF, update a status, forward a question. Judgement is anything where a professional has to decide. In most firms the logistics column is longer, and it is spread over many small interruptions, which is exactly why it feels bigger than it looks on a timesheet.

Collecting client documents automatically

Document collection is the best first automation because it repeats for every client every month and the rules are simple. The mechanism is a checklist per client that knows what should arrive, a channel where it arrives, and a small process that compares the two and acts on the gap.

  1. Define the expected documents per client: bank statements, supplier invoices, sales invoices, payroll basis, and anything special such as ROT or RUT documentation.
  2. Give clients one way in: the receipt app in Fortnox or Visma, a shared upload folder, or a BankID-identified upload page. Not email attachments.
  3. Let an automation read what has arrived, rename it consistently and attach it to the right period or voucher draft.
  4. Use AI to read invoices and suggest supplier, amount, date and VAT. A person approves the suggestion; the AI never books on its own.
  5. Produce a missing-items list per client that feeds the reminder flow in the next section.

Reminders and deadline tracking

Swedish deadlines are predictable: VAT returns by period, employer declarations on the twelfth most months, the annual report and the income tax return on fixed dates. That predictability makes them ideal for automation. The flow looks up each client's VAT period and company form, knows which dates apply, and sends reminders that include the specific missing documents rather than a generic 'please send your material'.

What must stay with a qualified person

The line is responsibility. Whatever carries your firm's name, affects a client's tax or requires professional judgement stays with a person, and the automation only prepares it. That includes the final booking of unusual transactions, periodisations and year-end adjustments, advice on dividends or salary, anything you sign under your professional rules, and client identification under the anti-money-laundering rules, where a tool can collect data but a person must assess it.

Data protection is the other boundary. Client ledgers contain personal data about employees and customers. Any AI service that reads documents needs a data processing agreement, EU or adequately protected processing, and a setting that stops your clients' data from being used for model training. Choosing tools that fit Fortnox and Visma

Built-in features first

Both ledgers have receipt capture, invoice interpretation and bank feeds. Turn these on and use them fully before adding anything; they are already paid for.

A general automation platform

Tools such as Make or n8n connect the ledger, your email, your practice management tool and your file storage. Good for reminders and status flows.

A small custom service

When you need per-client logic, audit trails and a dashboard the whole team trusts, a purpose-built flow that talks to the Fortnox or Visma API is sturdier than many chained no-code steps.

When you do not need this: a firm with a handful of clients, or one where every client already uploads through the ledger app on time, will not recover the setup cost. Neither will a firm that has not yet agreed internally how a month should run, because automation freezes whatever process exists. Frequently asked questions

Can AI do the bookkeeping for our clients?

It can read documents and suggest how to book them, which saves real time. It should not book on its own, and it cannot take responsibility for the result. Keep a person approving every suggestion, and keep year-end work fully manual.

Will automation work with both Fortnox and Visma?

Yes. Both have documented APIs that cover vouchers, invoices, customers and attachments. A firm with clients in both ledgers can run one reminder and collection flow that writes to each through its own integration.

Is it GDPR-compliant to let an AI read client receipts?

It can be, if the provider signs a data processing agreement, processes data in the EU or under an adequacy decision, and does not train on your data. Document the assessment and tell clients in your engagement terms that a processor is used.
